The Bears Ears Inter-Tribal Coalition is looking to hire an Administrative Assistant

The Administrative Assistant is responsible for providing general administrative and operational support to Project staff and Coalition Tribal Leadership. This position requires close coordination with the Operations Director and other Project staff to assist and contribute to the oversight and administration of the programmatic and organizational priorities and goals, as well as agreement deliverables and outcomes.

Full Position Description

The Bears Ears Inter-Tribal Coalition (Coalition) is comprised of five Tribes—Hopi, Navajo Nation, Ute Mountain Ute, Ute Indian Tribe, and Pueblo of Zuni—that successfully advocated for the creation of the Bears Ears National Monument and were also tasked with collaborative management of the Monument. The mission of the Coalition is to protect and promote sacred, spiritual, historical, natural, scientific, and cultural resources within the Bears Ears landscape. The Coalition’s greater mission is served by several key goals which include: (1) development of the Tribally-led, culturally informed collaborative land management plan (LMP) for the 1.9 million-acre Bears Ears landscape; (2) integration of Traditional Ecological Knowledge (TEK) into the monument’s land management practices; (3) creation and strengthening of relationships with conservation partners and federal land managers; (4) advocacy for restoration of the monument boundaries and Tribal collaborative management and; (5) promotion of conservation stewardship as informed by indigenous perspective and values.

Resources Legacy Fund (RLF) acts as a fiscal sponsor for the Bears Ears Inter-Tribal Coalition Project (“Project”); the Project operates for the benefit of the Coalition. All Project staff are RLF employees. RLF works with philanthropists to conserve land, water, and ocean resources while advancing healthy communities and social equity. We engage economically and ethnically diverse communities as we foster new funding and better policies for environmental protection and climate change adaptation.

The Administrative Assistant is responsible for providing general administrative and operational support to Project staff and Coalition Tribal Leadership. This position requires close coordination with the Operations Director and other Project staff to assist and contribute to the oversight and administration of the programmatic and organizational priorities and goals, as well as agreement deliverables and outcomes.

The Administrative Assistant reports to the Operations Director of the Project. This full-time position is non-exempt and duties are outlined below.

The following duties are included as part of this role:

  • Meeting planning for all Coalition events involves: multiple party coordination, venue coordination including lead for event logistics, and meeting preparation including printing and assembling materials
  • Processing reimbursements and stipends: maintains tracker to ensure timely receipt
  • Donor engagement involves: maintaining donor spreadsheet, donor correspondence including writing recurring donor updates, thank you letters and emails, exploring options for more “meaningful” donor engagement
  • Recording and sending out meeting minutes for all Coalition activities
  • Oversees scheduling: Tribal Leader meetings, internal office calendar, Tribal leader and advisor events, and Executive and Operations Directors meetings, upon request
  • Data upkeep involves: maintaining various excel tracking documents and upkeep of Basecamp and other storage-based systems. Also includes tracking of invoices and managing contract procurement
  • Coordination of office requests: emailing people, sorting requests to ensure proper BEITC contact is in receipt, and handling any mailing and shipping pertaining to special requests
  • Managing office needs: any coordination of office mailing, equipment inventory and ordering, office supply ordering
  • Grant and report writing: assists in drafting or reviewing materials, proofreading and editing
  • Coordinates and manages all aspects of merchandising: ordering new supplies, keeping track of inventory, updating website, emailing people for “customer service”

Knowledge, Skills, and Abilities:

  • Extensive knowledge of certain computer applications and programs to generate graphic illustrations as necessary.
  • Familiarity with readily available resources available to help craft necessary documents or media posts.
  • Excellent oral and written communication skills to ensure full-circle communication with program staff.
  • Ability to integrate general concepts and language utilized by the greater indigenous and conservation advocacy sphere into the BEITC’s own messaging on social platforms.
  • Strong project management skills including organization, attention to detail, time-management, and coordination among varying parties.
  • Knowledge of natural and cultural resource conservation and management for indigenous communities.
  • Familiarity with indigenous rights, tribal sovereignty, conservation, environment and social justice issues.
  • Ability to adhere to numerous deadlines, conflicting priorities, and handle multiple tasks efficiently.
  • Ability to receive, balance and handle direction and input from multiple colleagues.
  • Technological abilities to ensure compliance with confidentiality policies and procedures necessary for the protection of RLF data, and to efficiently complete tasks.
  • Ability to perform tasks with a high degree of accuracy and attention to detail, as well as anticipate informational needs as situations and projects develop.
